A controlled workbook architecture for using AI to prepare consolidation workflows while keeping inputs, exceptions, approvals, and professional judgement visible.

## Treat the workbook as a control model

A consolidation workbook should make the operating sequence visible: configure, map, collect, translate, match, adjust, consolidate, validate, review, and sign off. AI can help prepare that structure, but the workbook is not an accounting authority, legal opinion, audit conclusion, or substitute for professional review.

The generic build should use fictional entities and illustrative amounts unless an approved confidential-data environment exists. It should remain clearly marked not live-ready until its reporting basis, perimeter, policies, controls, evidence, review, and sign-off have been completed.

## Pass the readiness gate before building formulas

The reporting entity, framework, jurisdiction, period, presentation currency, group perimeter, ownership, functional currencies, rate sources, accounting policies, materiality, chart of accounts, entity trial balances, intercompany population, technical positions, roles, and evidence rules must be obtained or explicitly marked unconfigured.

Missing information should become a visible exception with an owner and due date. The agent must not silently replace a missing technical or governance decision with an assumption.

## Use a deterministic workbook architecture

The guide defines thirteen ordered worksheets covering instructions, process flow, setup, entities, chart mapping, trial-balance input, FX rates, mapped balances, intercompany matching, journals, the consolidated trial balance, checks, and sign-off.

Inputs, formulas, status values, mappings, rates, journal eligibility, controls, and approvals remain explicit. Original inputs and journal history are preserved, while failed controls and unresolved differences stay visible rather than being hidden by balancing plugs or overwritten data.

## Keep judgement and release authority human

Material or judgemental entries should remain on hold until an applicable-period, source-backed technical position has been reviewed and approved. Preparation, review, approval, posting, and final sign-off should be separated where the risk requires it.

Before external, statutory, board, lender, tax, regulatory, or audit use, the workbook needs a qualified human reviewer. The full Gist provides the deterministic build procedure, validation suite, exception rules, agent prompt, definition of done, and required handoff report.
